Important Information

DEPOSIT: A deposit of 50% is required to secure a booking. The deposit is payable at the time of making the reservation. The balance of payment is due 48hrs before arrival, unless booking is made within 48hrs of arrival date, deposit is made upon time of booking. GUESTS are required to produce a credit card used to pay any deposit or incidentals together with a valid ID/passport prior to check-in at the hotel.

CONDITIONS OF USE: The occupancy for each apartment is limited to the number of beds and is such 2 people per studio and 4 people per Two bedroom apartment. This limit may not be exceeded without arrangements made upon booking, or an additional room will be charged. Prior arrangements for an additional sleeper in a Studio or Two Bedroom Apartment can be arranged subject to room availability. Rates are inclusive of electricity for short stays.

Electricity is monitored and loaded by THE RESIDENCES. Excessive use of electricity will result in a surcharge being applied to the guests bill. Ensure that all appliances, lighting, heating, hot water etc are turned off unless required. Also include are linen & towels, DSTV hotel package, internet of 1 gigabyte per person each month, but do not include phone charges. Phone charges are based upon standard Telkom rates.

OCCUPANTS: Only persons notified to THE RESIDENCES prior to arrival may occupy the apartment.

GUEST may not re-let / sublet the apartment to any other third party. The number of persons permitted to occupy the apartment is limited to the number of beds available and this limit may not be exceeded. THE RESIDENCES reserves the right to refuse admittance to the apartment if this condition is not strictly complied with.

FACILITIES/SERVICES: All apartments are fully furnished and include a kitchen fully equipped with appliances, cutlery, crockery, and kitchen utensils. The apartments are self-catering and no food is provided, unless prior arrangements have been made. No items may be removed from the apartment and any missing items will be charged for.

HOUSEKEEPING is available seven days a week from 08h00 - 17h00. Short-term rental (bookings of less the 25 days or are paying within a higher rate bracket) receives housekeeping service each day. Long-term rentals (bookings of 25 days and longer or, are within a lower daily rate bracket), receives housekeeping services every Monday Wednesday & Friday. There are 3 towels supplied per person and linen & towels are laundered every Monday, Wednesday & Friday, unless prior arrangements have been made. If you require your towels to be laundered daily, the cost will be for your own account. The cleaning staff have a key to access the apartment so if you do not wish to be disturbed, please indicate this by leaving the "Do Not Disturb" card on the outside door handle of your room.

CHECK-IN/OUT REQUIREMENTS: Guests should specify estimated time of arrival when booking a reservation to arrange a meet and greet. The Rental office is open Monday - Sunday from 06h00 - 23h00. If you anticipate arriving after 23h00 please notify the agency ahead of time. Unless otherwise agreed in advance, apartments will usually be made available from 14h00 on the day of arrival and all apartments must be vacated by 11h00 on the day of departure. Prior arrangements can be made for longer stays on the departure date unless the apartment is booked by another guest for that night. A charge for late check-out of R300 applies for departures after 11h00. If check-out is made after 17h00, an additional nights accommodation will be charged.

NO SMOKING: All apartments are strictly non-smoking. Any guests found to have smoked in the apartment will be liable for steam cleaning of all furniture, carpets and curtains.

THE RESIDENCES or its authorised personnel, may after notifying the GUEST, access the apartment for the purpose of inspection and to carry out repair or maintenance work. In the event of an emergency, if the GUEST is not in the apartment, THE RESIDENCES may access the apartment without notification.

DAMAGE/LOSS: The apartment doors are not self-locking and GUESTS must please lock the door when leaving the apartment.

THE RESIDENCES will not be responsible for any theft of, or loss or damage to their goods or personal belongings kept at the accommodation. GUESTS are advised to lock valuables away in the safe provided. We strongly recommend GUESTS take out travel insurance to cover any losses. The GUEST is also responsible for taking all reasonable care of the apartment and its contents.

GUESTS are responsible for any damage to the apartment or its contents during their stay which has occurred due to the negligence, wilful damage or irresponsible behaviour of any occupant of the apartment or their guests. Any damage must be reported to THE RESIDENCES by the GUEST, without delay.

INSURANCE: Guest must ensure that nothing is done which may jeopardise THE RESIDENCES insurance policy or any part of it in respect of the apartment and its contents.

COMPLAINTS: THE RESIDENCES warrants to the GUEST that all reasonable effort to ensure that the chosen accommodation is properly arranged and is of a reasonable standard. The GUEST must immediately notify THE RESIDENCES of any complaint, no later than 12 hours after the GUESTS arrival. No loud music is permitted or disturbance of other guests.

LIABILITY: Unless negligence by THE RESIDENCES is established by an independent body, appointed in agreement with THE RESIDENCES, THE RESIDENCES will not be held liable for injury to person, loss of, or damage to any property of any GUEST or person staying/visiting the apartment and or its general facilities and area. Vehicles parked are done so at the risk of the GUEST.

Once a booking has been accepted by THE RESIDENCES, a contract exists between GUEST and THE RESIDENCES. Accepting a reservation with THE RESIDENCES indicates acceptance of these Terms and Conditions. Amendments to THE RESIDENCES Terms and Conditions may be subject to change at any time and without notice.

Cancellation Policy

The following cancellation fees shall be applicable and shall be calculated by reference to funds received at that point:


GUESTS are to please fax their cancellation to 021-555 2410 or email bookings@theresidencescapetown.com. Confirmation of the cancellation will be sent to the GUEST. THE RESIDENCES does not guarantee that emails sent to it are received. It is the GUESTs responsibility to ensure receipt of their cancellation. Cancellations may be liable to the charges outlined below.

Depending on the reasons for the cancellation, the GUEST may be able to reclaim the cancellation charges from the GUESTs insurance company, if the GUEST has taken out travel insurance. We strongly recommend that all GUESTS obtain appropriate travel and personal insurance cover. Cancellation of a reservation will be effective only from the date of receipt.

 

- Cancellation within 48hrs of arrival, or no show - GUEST forfeits 100% of deposit up to 7 days stay.

- Cancellation 48hrs - 7 days before arrival - GUEST forfeits 75% of deposit up to 7 days stay.

- Cancellation 14 - 21 days before arrival - GUEST forfeits 50% of payment of deposit up to 7 days stay.

- Cancellation 30+ days before arrival - GUEST forfeits the 25% deposit up to 7 days stay.

- On receipt of a written instruction from the GUEST to cancel the reservation, THE RESIDENCES will refund whatever amount is due within 5 working days. Refund payments are subject to a 7% handling fee on the refunded amount. If a SWIFT transfer is necessary this will carry an additional R180.00 charge.
